Four chases a year

Quarterly updates mean chasing records every quarter. Q2 covers 6 April to 5 October and is due by 7 November.

Shoebox photos and PDFs

Clients send photos and PDFs, not digital records. Someone has to turn them into figures.

Unbilled admin time

Chasing eats into fixed fees, and small firms rarely have admin staff to do it. Penalty points for late updates start from 2027-28, so this is the year to build the habit.

How it works

From chase to MTD-ready totals

Four steps for each client, every quarter. You stay in control: you approve the totals and you file.

    Your client gets a chase

    A friendly reminder by email (and WhatsApp or SMS once set up) in your practice's name, with a personal upload link.

  2. Step 2

    They upload from their phone

    Photos, PDFs or spreadsheets through an expiring link. No login, no app.

  3. Step 3

    AI reads and categorises

    Dates, amounts and descriptions are extracted and mapped to HMRC categories. Unclear lines are flagged for review.

  4. Step 4

    You get MTD-ready totals

    Cumulative totals from 6 April plus an import CSV for your MTD software. You review, approve and submit.

FAQ

Questions practices ask

Does RecordsIn file MTD updates with HMRC?

No. We produce per-client category totals and an import CSV for your existing MTD software or bridging tool. You review and approve the figures and submit to HMRC yourself. We never hold HMRC credentials.

Does it work with my MTD software?

We give you totals and a transaction-level CSV that you can bring into the MTD software or bridging tool you already use. There are no direct software integrations yet, so nothing changes in your current set-up.

How is client data kept secure?

Each client gets a personal upload link that expires after 30 days. Files travel over an encrypted (HTTPS) connection, the upload portal does not keep its own copy of files, and we never ask clients for full card or bank account numbers or ID documents.

What about GDPR?

For your clients' data, your practice is the controller and RecordsIn acts as your processor. We sign a data processing agreement (UK GDPR Article 28) with you before we contact any client, and we only act on your instructions. See our privacy notice.

Do messages come from you or from us?

They are sent in your practice's name. Client replies go to you. WhatsApp and SMS are switched on during set-up using your own WhatsApp Business number and approved message templates, and only for clients who have opted in. Email chasing can start straight away.

What happens if a client doesn't respond?

After the reminder sequence, or as the deadline gets close, the client is passed back to you with a note, and we stop messaging them. You decide on any phone call or extra contact.
